We are seeking a full- time bilingual Medical Record Specialist

We are seeking a full-time bilingual Medical Record Specialist to be responsible for filing, preparing, tracking and organizing all open and closed medical charts for our Northridge location. The Medical Records Specialist is responsible for the daily functioning of the medical records department.

What You’ll Do:

    Opens all new cases and creates all new clinical client charts.
    Responsible for maintaining the filing, tracking, and organizing of all open and closed medical charts.
    Maintain accurate filing of documentation into client charts for open and closed charts. Keeps chart room neat and organized.
    Checks in/out client charts for clinical and non-clinical staff. Updates information in the check in/out screen in the in-house system.  Notifies clinical and non-clinical of overdue checked out charts.
    Process and track needed intake documentation including follow up with clinical staff and Admin Manager as needed regarding overdue intake documentation.
    Processes requests for records from individuals and outside agencies in a timely manner and communicates requests orders for charts located at off-site storage as needed.
    Annually (end of Fiscal year), updates closed charts by logging each chart and their assigned bar code number into FileMaker Pro: box closed charts and coordinates with off-site records storage facility to pick-up closed charts.
    Back-up for other departmental administrative positions.
    Hours: Monday-Friday 8:30 am- 5:30 pm (with possible evenings and/or later morning as scheduled by the Admission and Phone Screening Supervisor)
    Hybrid work option available.

Qualifications

    Bilingual in Spanish and English required.
    Ability to prioritize and plan work activities and use time effectively.
    Must be able to work independently.
    Must demonstrate accuracy and thoroughness.
    Must possess strong organizational skills and a keen eye for detail.
    Must be able to maintain confidentiality
    Must be able to get along with others in a courteous and respectful manner.
    Must have a good attendance record in addition to being punctual by consistently being on time to work, meetings and appointments.
    B.A./B.S. in Psychology, Social Work or other Mental Health related field preferred. H.S. Diploma or equivalent required.
